The Clery Act is a federal law that requires American colleges and universities to report certain crime statistics each calendar year. The University must report statistics about certain non-campus locations used by students where the university or registered student organizations owned or controlled the location(s) through a written agreement. The written agreement may be formal (deed, lease agreement, hotel/lodging invoice, etc.) or informal (email, text message, etc.). Cost/payment does not determine control. The university can still control a location through a written agreement without having to pay anything. There are also instances where the university may use a location but have no ownership or control. An example would be OU students participating in an academic or sports tournament where a host institution/entity controls lodging and other facilities through a written agreement(s). OU students may lodge in and utilize the facilities as part of the tournament, but the host institution/entity has control.

Reportable non-campus locations include any of the following:

  1. Any building or property owned or controlled by registered student organizations (e.g. an off-campus storage unit)
  2. Any building or property (1) owned or controlled by the University that is (2) used in direct support of, or in relation to, the institution’s educational purposes, (3) is frequently used by students, and (4) is not within the same reasonably contiguous geographic area of the institution (an off-campus facility where students have to visit and perform work or research as part of a course or academic program)
  3. Locations in connection with university-sponsored student travel that include overnight trips (one night) and short stay-away trips (multiple nights). Locations that must be identified during the trips are the hotel rooms rented for the students and any classrooms and other locations controlled by the University through a written agreement (e.g., booking confirmation, hotel/lodging invoice).  Examples include an annual overnight retreat for a registered student group or scholarship program, or a week-long biology research trip.

As a faculty/staff advisor or student involved with student travel, we are asking you to provide this information to the best of your ability.  We appreciate your help collecting this data.
